What is Tendering?
Let’s start with the basics…
Tendering is the process of submitting an offer for goods or services, typically in response to a formal invitation (ITT) to do so. During the tendering process, prospective suppliers will present their offers to a buyer in an attempt to win the contract for supplying the goods or services. Tendering processes are used to ensure fairness and transparency for both buyers and suppliers.
The Tendering Process
In case you are unfamiliar with the tendering process, here is a brief summary of the key stages:
- Pre-Tendering Preparation
This is the planning and research phase of the tendering process. In this step, companies make sure that they meet the qualifications necessary to tender for the project.
- Bidding Submission
This step involves preparing and submitting a bid in response to the tender notice or invitation. Companies must offer all requested documents and information and ensure they meet all requirements of the tender, such as the specified due date.
- Reviewing & Evaluation
After all bids have been received, the procuring authority will assess and evaluate each bid. This is done by comparing and ranking the bids to determine which one offers the best value for money.
- Unsuccessful Tenders
After all bids have been evaluated, those that aren’t successful may be informed by the procurer and asked to withdraw. They may also be invited to a debriefing to understand why their bid was unsuccessful.
- Contract Award
The last step in the tendering process is awarding the contract to the successful bidder. This will generally be communicated in writing, alongside the contract signed between the two parties. This contract includes the terms and conditions agreed to by both parties involved in the tender process.
5 Top Tips from Our Bid Writers
- Read the Tender Requirements
Make sure to thoroughly understand the requirements before submitting a proposal. It is vital that you can deliver on all of the buyer’s requirements, otherwise there is no point bidding on that opportunity.
- Tailor Your Response
Demonstrate your unique experience and skillset. Provide evidence of your expertise which is relevant to the requirements of the contract through case studies.
- Pay Attention to Detail
Each section should be clear and concise, using facts and figures to back up your statements. Top tip: Name everyone in your team who will be delivering on each requirement. Make your proposal precise and leave no room for questions!
- Demonstrate Enthusiasm
Showcasing your passion for the project will help you stand out from other applicants. The best way to demonstrate your passion is through evidence of your experience to back up your interest.
- Make Use of Helpful Resources
There are plenty of online resources and templates available to assist in the tender writing process. Need help with your tender response? We can take a look at your requirements and write the response for you!
